Ollinton Ltd is the controller of the personal information described in this notice, and is registered with the Information Commissioner’s Office under reference ZC099703. You can contact us at hello@ollinton.com.

You can read ollinton.com without giving us anything: there are no forms, no accounts and no cookies. We hold personal information when you email us, when you become a client, and when we write to an organisation we think we could help. We hold what each of those needs and nothing more. We don’t sell personal information, and we don’t use it for advertising.

Technical information. Like any website, ours receives standard technical data when you visit, such as your IP address, your browser and the pages you request. Our host uses it to serve the site and keep it secure. It also counts page views for us, without cookies and without following you to other sites, so we know which pages are read and nothing about who read them.

Cookies. ollinton.com doesn’t set any.

We keep your email and our replies for as long as we need them to deal with what you wrote to us about, and for a reasonable time afterwards in case the conversation continues. Our legal basis is our legitimate interest in replying to you, or, if you’re asking about working with us, the steps you’ve asked us to take before a contract.

What we hold. Your name and contact details, your business’s details and billing address, what we’ve agreed to do for you (proposals, timetables and invoices), our correspondence, and what you give us for the work, such as your words and photos.

Why. To do the work you’ve asked us to do, which is our contract with you, and to keep the accounting records the law requires.

How long. For as long as we’re working together, and a reasonable time afterwards. Invoices and payment records are kept for six years after the end of the financial year they belong to, as UK tax law requires.

Your team. If our work involves the people in your organisation, such as the conversations in an AI Readiness review, we agree with you beforehand what we’ll record about them, and we use it only for that work.

When we build or host a website for a business, that business decides what its site collects about its own visitors, and it’s responsible for that information. We handle it only on the business’s instructions, to run the site. Its own privacy notice tells you more.

We sometimes write to organisations we think we could help. We use the business contact details an organisation publishes, such as those on its website. Our legal basis is our legitimate interest in telling a business about work that’s relevant to it.

We keep a note of who we’ve written to and any reply, so we don’t write twice. If you’d rather we didn’t contact you, reply and say so, and we won’t. We’ll keep just enough to make sure of it.

We use a small number of service providers to run the business: our website host, our email provider, the database behind our own records, file storage, and the AI tools we use in our work. They process information on our instructions and can’t use it for their own purposes. We don’t sell personal information or share it with advertisers.

If the law requires us to disclose information, or if Ollinton Ltd is ever sold or restructured, personal information may be transferred as part of that, with this notice’s protections travelling with it.

The database that holds our client records is in London. Some of our providers operate outside the UK. Where that happens, transfers are protected by the safeguards UK data protection law requires, such as the UK’s data bridge arrangements or standard contractual clauses.

UK data protection law gives you rights over your personal information. You can ask for a copy of it, correct it, delete it, restrict or object to our use of it, and take it elsewhere. To use any of them, email hello@ollinton.com. We’ll reply within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk, though we’d appreciate the chance to put things right first.

When we change how we handle personal information, we’ll update this notice and the date at the top before the change takes effect.
